PURPOSE OF THE POSITION
The Administration Supervisor will work within the Administration Team and report directly to the Administration Manager. The Administration Supervisor will also supervise the Welcome Desk, ensuring high-quality customer service and efficient daily operations.
It is the Administration Supervisor’s responsibility to support the smooth operation of administrative functions across multiple areas, including finance, payroll, employee relations, and Welcome Desk operations.
DUTIES & RESPONSIBILITIES
- Oversee daily operations of the Welcome Desk, ensuring optimal staffing levels and smooth service delivery.
- Develop and implement effective scheduling and shift management for the Welcome Desk.
- Provide ongoing employee training and troubleshooting support for the Welcome Desk.
- Monitor and manage procedures to ensure accuracy and compliance with organizational policies.
- Assist with recruitment, training, and development of Welcome Desk staff.
- Act as a liaison for communication between departments and assist with customer service.
- Oversee employee onboarding and offboarding processes, ensuring smooth transitions.
- Maintain accurate employee records, ensuring compliance with privacy and employment regulations.
- Assist with administrative duties, including document preparation and records management.
- Assist with tracking and managing financial documentation and records.
- Support the implementation and monitoring of financial processes to ensure accuracy and compliance.
- Perform other related duties, within the scope of the position.
QUALIFICATIONS & SKILLS
- Post-secondary education, preferably in office/business administration.
- Experience in administrative roles with supervisory responsibilities, ideally in finance, payroll, HR, and customer service.
- Exceptionally high level of customer service.
- Strong leadership skills with the ability to mentor, coach, and motivate employees.
- Experience working with Alberta Employment Standards and an understanding of employment laws.
- Proficiency in the Microsoft Office suite of products.
- Strong organizational and time management skills with the ability to prioritize and manage multiple tasks.
- Excellent interpersonal skills and ability to communicate and collaborate effectively with clients and staff.
- Detail-oriented with a commitment to maintaining accurate records and meeting deadlines
- Willingness to continually seek improvements in the provision of customer service.
- Ability to provide leadership and direction in the delivery of customer service.
OTHER INFORMATION
- Class 5 Driver’s License Required
- Ability to sit for an extended period (1.5 to 2 hours)
- Operate a computer for several hours per day
- May be required to lift boxes, equipment, or other items weighing up to 15kg
- Full-Time, permanent position
- 40 hours per week
